Most messy books were not ruined by one big mistake. They drifted: a month where the credit card was not reconciled, a few deposits nobody identified, a loan payment recorded as an expense. Each one is small, and each one makes the next month harder to trust.
A monthly routine stops the drift. The list below is what a bookkeeper works through at every month-end, in roughly this order. If each item is done every month, year-end becomes a formality instead of a project.
Get every transaction in and in the right place
1. Confirm every account is in the books. Every business bank account, credit card, payment processor, and loan should be connected or imported through the last day of the month. A card that only one person uses is the one that usually gets missed.
2. Clear the uncategorized and suspense accounts. Anything sitting in Uncategorized Income, Uncategorized Expense, or Ask My Accountant should be identified and coded. A balance left there is a question you will be answering from memory in March.
3. Match transfers and card payments. A transfer from checking to savings, or a payment to the business credit card, is not an expense. It moves money between two accounts you own and should be recorded as one transfer. Recording the card payment as an expense when the individual card purchases are already recorded as expenses is one of the most common ways costs get double-counted.
4. Save receipts and notes while they are fresh. Meals, travel, and anything over a few hundred dollars should have the receipt and the business purpose attached to the transaction now, not reconstructed later.
Reconcile, then check the balance sheet
5. Reconcile every bank and credit card account to its statement. The ending balance in the books must equal the ending balance on the statement, with any difference explained by specific uncleared items. This is the single step that proves the month is complete.
6. Review receivables and payables. Run an aging report for unpaid customer invoices and follow up on anything past due. Check that bills you owe are entered and that paid bills were marked paid, so the same invoice is not recorded once as a bill and again as a direct expense.
7. Tie out payroll and sales tax liabilities. Each liability balance should match what was actually withheld or collected and what is owed on the next filing. A sales tax liability that only grows, or a payroll liability that never clears, means the payments were recorded somewhere else — usually as an expense.
8. Update loans and assets. Split each loan payment between principal and interest, and compare the loan balance in the books to the lender's statement. Record equipment purchases as assets, and remove any assets that were sold or scrapped.
Review the reports and close the month
9. Read the P&L and Balance Sheet next to last month's. Look for anything that swung without a reason: a category that doubled, revenue that dipped when sales did not, a negative balance in an account where none should exist. Negative balances are almost always a recording error, not a real number.
10. Close the period. Once the month is reconciled and reviewed, set a closing date in your accounting software so earlier transactions cannot be edited by accident. A closed month you can trust is worth more than an open one that keeps changing.
Quarterly, add one more step: compare estimated tax payments against year-to-date profit, since the numbers you just closed are what those payments should be based on.
When the routine doesn't happen
This checklist is the first thing to slide when the business gets busy. If it has slid for a while, catch up one month at a time, in order, reconciling each month before moving to the next. Trying to fix the whole year at once is how opening balances end up wrong.
