Step 1: Secure your own access first
Before any conversation, confirm you are the primary admin on your own QuickBooks (or other ledger) account — not a user invited into a file the bookkeeper owns. If the bookkeeper owns the file, request primary admin transfer as the first step, politely and before giving notice. The same goes for your bank feeds, payroll portal, and sales tax logins: your business, your credentials.
Step 2: Collect the handoff package
Ask for: the most recent reconciliation reports for every account, the year-to-date general ledger, last year's trial balance as of the tax return, any open item lists (uncategorized transactions, unmatched deposits), and copies of anything they file on your behalf. A competent outgoing bookkeeper produces this in an hour. Resistance to producing it tells you the switch is overdue.
Step 3: Time the cutover at a month end
Switch at a month boundary: the old bookkeeper closes through the last day of the month, the new one owns the first day forward. Mid-month switches create a no-man's-land where each side assumes the other reconciled. Give the outgoing service their contractual notice, but only after steps 1 and 2 are done.
What the replacement should look like
Vet the new bookkeeper on three questions: Is reconciliation to the bank statement included every month? What date do reports arrive? What does catching up or re-doing weak months cost, as a fixed number? Vague answers to any of the three reproduce the problem you're leaving.
